When do we process personal data?
In order to provide our services, we process personal data that is required for the respective service provision (e.g., claims processing or risk assessment). On our websites, personal data is further processed by means of cookies, analytics tools, and log files:
- Applications for documenting claims / providing case summaries: Personal data is processed in the context of claims processing or risk assessment. This includes in particular personal data visible on the vehicle registration document as well as possible reflections of persons in vehicle images.
- Homepage (noimos.ai): Personal data required for the operation of the website is processed.
- Contact form: Submitted contact forms for enquiries are used for processing and retained. Contact enquiries are not used by us for marketing purposes.
- Newsletter: As part of your registration, personal data is processed for the delivery of newsletters.
Collection of personal data:
Personal data is either collected directly by the data subject or, in the context of claims processing or risk assessment of an object to be insured, by the persons who carry out this process on behalf of the data subject (e.g., garages or insurers).
Which personal data is collected and processed:
The personal data collected is that which is necessary to identify data subjects in claims processing or risk assessment of an object and thus to enable the processing of business transactions (e.g., name, address, email address, licence plate number). Furthermore, personal data received through contact forms or newsletter registrations is processed.
Processing purpose
Personal data is processed primarily for the purpose of claims processing or risk assessment. This also includes expert reviews for quality assurance, particularly in the area of Visual Intelligence, and the use of part of the data for further development, as far as possible in anonymised form. Furthermore, personal data is processed for the purpose of newsletter delivery or handling enquiries from contacting persons. This also includes the need for part of the personal data for the proper provision of our services on our websites. We also use personal data for analyses of user behaviour so that we can further optimise our services.
Noimos also uses AI-powered productivity tools to make internal workflows more efficient. In this context, business contact data (e.g., name, email address) contained in our business correspondence may be processed by these tools. The processing is based on our legitimate interest in increasing the efficiency of internal processes. The tools used are not used for automated decisions, and data is not used for training purposes by the providers.
Access to and disclosure of personal data
Noimos makes your personal data available within noimos to a limited group of users who need access so that noimos AG can fulfil its contractual and legal obligations.
Noimos transmits personal data to partners and service providers if they require the personal data for the fulfilment of legal or contractual obligations (of the partners or of noimos). All partners and service providers are contractually obligated to treat your personal data confidentially and to process your personal data only insofar as this is necessary for the provision of services and with the same application of care and diligence as noimos would apply.
Where a legal obligation exists, noimos also discloses your personal data to public bodies and authorities.
Legal basis for data processing:
Where processing of personal data is carried out on the basis of a legal obligation, this serves as the legal basis. This may include, for example, disclosure to third parties or a retention obligation.
Where you give us consent (e.g., by independently registering for the newsletter), this consent serves as the legal basis for processing.
In other cases, we process personal data on the basis of a contractual obligation or a legitimate interest, in particular for the provision and further development of our services in claims processing, risk assessment, or for optimising our websites.
Storage of personal data and retention
Noimos stores your personal data for as long as it is legally required to do so (e.g., retention periods) or as long as it has a legitimate interest in storing it in order to provide its services and/or operate its websites.
Personal data for which there is no legal basis, no legitimate interest, and no consent for processing will be deleted.
